Purchase Orders: OptiMA Inc. only accepts purchase orders from federal or state funded institutions including, K - 12 public schools, state colleges & universities, public libraries, municipalities & town offices, state agencies and all branches of the military.
Orders from businesses, private schools, private colleges & universities, charter schools and churches must be prepaid at the time of order in the form of a check, money order, electronic funds transfer or with a credit card. We also accept Visa, MasterCard and American Express. To Pre-Pay via check or Purchase order, please call our Sales team.
When paying with a purchase order, a copy of the purchase order must be received by us before the order will be processed. You can fax the purchase order, e-mail it or mail it to the address shown above. We'll call to remind you about this.
Freight Policy: For your own protection against concealed damages, all cartons shipped by Truck should be opened and inspected upon arrival. Note any damages on the bill of lading and have the driver sign it for you. Then notify us about the damages and we will have a replacement order sent for you. The trucking company may not notify us of any damaged goods so please be sure to contact our customer service department immediately so that we may assist you. Please understand that if you do not inspect the merchandise on arrival and make note of the damages on the bill of lading before signing then you will be responsible for filing all freight and damage claims with the delivering carrier. Concealed damages can happen so please protect yourself and open the cartons and inspect carefully. Do not judge the carton simply by its appearance.
If the driver will not wait for you to inspect your delivery: Sometimes a truck driver cannot wait for you to open every single package especially on large deliveries. In this case it is OK to sign for your packages but you must add the note "Carton Damaged" or "Hole in Cartons" and include number of cartons damaged on bill of lading that you are signing. Also make additional notes about any additional holes, dents, folds, rips or tears in the packaging as well. For example: "Carton containing enclosed bulletin board has a hole in the right hand corner and the cardboard is ripped on the bottom."
Inside delivery: Truck shipments are to your loading dock or curb only. Trucking companies often do not provide inside delivery or charge extra fees if they do. You as our customer are responsible for any additional fees or charges that may be incurred for authorizing this or any added additional services such as a lift gate, etc.
These procedures usually only apply to Truck orders however, should you get a UPS or FedEx delivery where there is obvious damage you should refuse the shipment and contact our office for assistance.
Sorry but no custom orders can be returned... all sales are final. Check with customer service if you have any questions about any item or if it would be considered a custom unit. We always offer free fabric samples to select from prior to your order on request.
Restocking Fee: There is a 20% restocking charge for all authorized returned stock items. The items must be unused and returned to the manufacturer in the original cartons freight prepaid. No collect shipments will be accepted and you must obtain a return authorization number before you send anything back. Failure to follow these directions may result in no credit since we will not be able to track your return.
Credit Card Processing: Please note: Your credit card is charged when we process your order. This typically occurs shortly after you submit your order. You will receive a confirmation number on screen and a separate email with your confirmation and receipt.
